audit processes with IFS Ultimo

At AVO-Werke, the technical department is responsible for maintenance. A new EAM system was needed because the previous solution was no longer able to meet the challenges.

Completely cover all important asset management processes

The company was looking for software that not only covered all important asset management processes, but also had a simple user interface that would quickly gain acceptance among employees. Mobile and largely paperless working were further objectives. After thorough consideration, the decision was finally made in 2020 to introduce Ultimo. Together with Ultimo, the solution was adapted to the specific needs of AVO-Werke. Now, much of the configuration can be done independently using the configuration tool.

‘All our maintenance processes – from order management and reporting to cost control, procurement and spare parts storage – are much better organised with Ultimo,’ says Dr Kurt Höfelmann, Technical Manager at AVO-Werke. ‘Ultimo gives us an excellent overview of the condition of our equipment and allows us to reduce downtime. Everything runs more efficiently, which also has a positive effect on the motivation of our employees.’

Saved a lot of walking and phone calls

"The ability to create an order on the go, process it and then report it as completed is brilliant.

This saves a lot of walking and phone calls. The time saved can be used more efficiently." The Technical Department mainly works with Ultimo. But shift supervisors in production are also involved and use Ultimo Self Service to create orders and track progress.

The old system involved working with multiple Excel lists to obtain an overview of assets, spare parts and maintenance status. Ultimo has completely changed this: ‘The straightforward order management, the overview of spare parts availability and the ability to view documentation on mobile devices are just a few of the features that make our day-to-day work in the technical department so much easier,’ says project manager Denis Roor.

‘During audits, we also need to be able to quickly provide the requested information. This could be safety data sheets for a food-grade lubricating oil or documentation on periodic maintenance orders for a specific plant,’ explains Denis Roor. At AVO-Werke, paperless and mobile working with Ultimo means that all the necessary information and documentation is quickly at hand.

For the future, the establishment and management of a new central warehouse for the technical department is planned with the help of Ultimo.

Challenges for AVO-Werke:

  • Proactive spare parts management was lacking, which prevented plant downtime and plant failure.
