In 2008, the HAL Allergy Group wanted to update its enterprise asset management (EAM) system. The company had previously been using various programmes to manage its daily maintenance processes, with some tasks being recorded in Excel and Access. This made it difficult to keep track of all the data relating to the assets.
Simplify administration
To simplify administration and improve the process of storing important compliance documentation, the company sought a more integrated solution. The goal was to manage parts, suppliers, mean time between failures (MTBF) and various other factors on a single platform. Ultimo offered all the necessary features with the added benefit of a high degree of customisability.
Previously, most maintenance requests were made by telephone. The maintenance team member who took the call had to write down the details by hand, which was time-consuming and increased the risk of information being lost or requests being overlooked. To solve this problem, the HAL Allergy Group introduced the Ultimo Self-Service module.
Today, all employees have access to Ultimo and every maintenance request is submitted via the system. All of the company's assets are available in Ultimo, so when employees submit a maintenance request, they can immediately link it to the relevant asset. This makes it easy for the maintenance team to keep track of requests and monitor the costs and time spent on maintaining important assets, which optimises efficiency.

Since every asset and every associated maintenance task is recorded in Ultimo, it is easy to monitor value growth and depreciation costs. This also allows the maintenance team to easily pass on the data to the board of directors to show how maintenance costs will develop over the next few years. This facilitates planning and securing future investments.
The management of compliance documentation in Ultimo is another key advantage for the HAL Allergy Group. In the highly regulated pharmaceutical sector, all equipment must be calibrated once a year. Any discrepancies or non-compliance with EudraLex GMP guidelines can have serious consequences, including potential shutdowns. That is why it is so important that all maintenance processes are correctly documented.
Different machines require different access levels, and the maintenance team must ensure that everyone working on the equipment has the appropriate training, access level and work permit. Since all relevant documentation is signed, dated and stored in Ultimo, it is easy to prove to auditors that all tasks were performed by authorised personnel.

Easy adaptability
For the HAL Allergy Group, Ultimo's ease of customisation is another key advantage. The maintenance manager regularly creates new functions in Ultimo to simplify the way his teams work and make every process as user-friendly as possible. Recently, the focus has been on improving the process of creating calibration labels. Previously, the company worked with a label writer, whereby the calibration data was entered manually. Now that all equipment is integrated into Ultimo, the next step is to take the calibration due date directly from the system to avoid the risk of manual errors. The entire spare parts database is also being transferred to Ultimo to simplify inventory and cost management. With Ultimo, the data can be easily used for various purposes, such as inventory management or to prove the value of inventory for insurance management.

and producing a range of allergen extracts for therapeutic and diagnostic purposes, for example to
alleviate allergies to dust mites, pets or grass pollen. The company has two state-of-the-art production facilities in the Bio Science Park in Leiden (Netherlands). One is used to manufacture its own products, while the other is used to fulfil orders from the Contract Manufacturing Organisation (CMO). Most recently, this was a Covid-19 vaccine.
